Managing documents

Esta guía todavía no está traducida a tu idioma: se muestra en inglés.

This guide covers everything you can do with documents in the dashboard: create, edit, publish, version, translate and delete them.

The documents list

Go to Documents in the sidebar. The list shows each document with its title, type, language, the sites it is published on, its status and when it was last updated. Use the site filter to see the documents of one site.

Creating a document

  1. Click New document.
  2. Enter the title (internal name), the type (Privacy, Cookies, Legal notice, Terms, Conditions or Other) and the language.
  3. Write or paste the body. The editor keeps headings, lists and links.
  4. Select at least one site.
  5. Save.

The number of documents you can create depends on your plan (see Plans).

Editing a document

Click a document in the list to open it. Make your changes and save. On plans that include versioning, saving a changed body stores the previous version in the history.

Comparing versions

Open the version history of the document to compare any two versions: additions and removals are highlighted.

Reverting to a previous version

In the version history, select the version you want and restore it. The restored text becomes the current version and the history is kept.

Publishing a document

A document is shown to visitors on the sites it is assigned to and while it is visible. Its public address is:

https://dash.legalcloud.info/d/{hash}

You will find the address (and a ready-to-copy iframe) in the document detail. To hide a document, switch off its visibility or unpublish it; its public address then stops showing the text.

Access rules

In the Configuration area you can set:

  • Sites where the document can be embedded.
  • Allowed countries: only visitors from these countries can read it.
  • Access token: the public address only opens with a document token (see Generating API tokens).
  • Style: inherit the style of your site or set your own colors for titles, text and links.
  • Credits: on plans that allow it, hide the LegalCloud credits.

Multi-language

Each document has one language. To offer another language, create a document in that language (or clone an existing one and translate the copy). The languages you can use are configured for your organization in the Languages tab of the Documents page; the number of languages depends on your plan. The public address of each language is different (/d/{hash_es} vs /d/{hash_en}).

Assigning to sites

A document must be assigned to at least one site. In the document detail, choose the sites in the Sites section. When a document is assigned to specific sites, only integrations that belong to those sites can show it.

Deleting a document

Deleting is irreversible and its public address stops working. For legal documents we recommend hiding them instead, so you keep the history: most jurisdictions require you to keep old versions for a number of years.
